<Position Title:> Manager, Assistant Manager or Generalist / Human Resources and General Affairs
<Regular Work Hours:> 9-5pm from Mon-Fri in general, occasional weekend duties
(In-person while school is in session. Hybrid during summer break)

Assistant Manager/Generalist $60K-$65K plus OT (Non-Exempt)
Manager $65K-$75K (Exempt)
※Relocation support may be provided in case of moving
<Job Responsibilities:>
◆Payroll & Tax
Process semi-monthly payroll in collaboration with outside accounting firm. Accurately keep track of overtime and hourly worker’s work hours.
Maintain salary and wage information and employees’ personal information
Issue 1099-misc in collaboration with the outside accounting firm
Assist Estimated Income Tax Filings for international assignees in collaboration with the outside accounting firm
Coordinate annual income tax returns in collaboration with the outside accounting firm
◆Benefit Administration
Administer benefit plans such as paid leave, sick leave, 403(b) pension plans, medical/dental/vision insurance, FSA/DCA, disability, Paid Family Leave, etc.
Issue COBRA notice and manage COBRA participants and payments
Conduct yearly open enrollment in September for medical, dental, vision
Conduct yearly open enrollment in December for FSA/DCA plans
Oversee annual mandatory filing for 5500-SF and PCORI fee in collaboration with the outside accounting firm
Issue 1094C and 1095B to all benefits eligible employees
◆Employment/On-Boarding/Off-Boarding
Post job advertisements and accept/organize incoming applications. Work with department chairs, curator of faculty hiring and relevant senior management.
Prepare employment agreements and other hiring related documents
Conduct background checks including fingerprint screening
Implement on-boarding orientation and termination process
Produce annual employment agreements for all faculty and staff
Initiate annual performance appraisal and objective setting for administration office
Participate in disciplinary meetings, terminations, and investigations as needed
Provide employment verification as requested
◆Others
Support visa applications and renewals for international assignees in collaboration with outside immigration attorney
Renew general liability insurance, worker’ compensation and EPLI. Manage annual renewal process and audit
Provide employee/compensation information for statistical surveys including, but not limited to, Fairchester and handbooks
Review and update Employee Handbook and Faculty and Staff Handbook during summer. Obtain acknowledgement statement from all faculty and staff via KANYOS.
Conduct mandatory training such as anti-harassment training
Manage/create HR & GA budget
Perform other duties as assigned by the Business Officer
◆Requirements/Education:
Bachelor’s degree required
Japanese and English Bilingual
A minimum of three years of human resource generalist experience
Updated knowledge of employment-related laws and regulations
Eager to obtain new knowledge/Must be Self-starter
ADP Workforce Now experience is strongly preferred
Proficient with Microsoft Office Suite and Google Suite
Excellent verbal and written communication skills both in English and Japanese.
