<Job Duties & Responsibilities:>

• Assist with day to day operations of the HR functions and duties

• Provide administrative support to HR Team

• Compile, update, and maintain employee records

• Coordinate HR projects (meetings, trainings, seminars, surveys, etc.) and take minutes

• Deal with employee requests regarding HR issues, rules, and regulations

• Properly handle employee complaints and issues

• Assist in the recruitment process by supporting in identifying and coordinating communication with candidates, scheduling interviews, conducting reference checks, and issuing offer letters

• Updating HR records (e.g. new hires, separations, vacation and sick leaves)

• Provide support to HR team by assisting in new hire orientations by sharing onboarding packages and explaining company policies
• Update employee records for existing employees such as promotion, termination, change of address, etc.
• Understand the importance of keeping employee files confidential
• Communicate with benefit administrators and vendors
• Monitor unemployment claims by reviewing claims and verifying documents
• Obtain thorough knowledge of labor laws and solid understanding of HR regulations
• Finalize termination paperwork and assist with exit interviews

• Excellent written, verbal, and interpersonal communication abilities in both English and Japanese
• Excellent organizational and time-management skills
• Minimum of 3 years’ experience in an administrative role
• Ability to maintain confidentiality
• Positive attitude and flexibility
• Strong problem-solving and decision-making skills
• Attention to detail and strong administrative skills
• Customer-focused attitude, with high level of professionalism and discretion
• PC literacy and experience with excellent command of MS Office applications
• Ability to handle challenges and over-coming them using conflict management skills
• Attentive listening and capacity to follow directions
• Excellence in both teamwork and individual tasks
• Solid ability to work in a fast-paced, busy environment and follow instructions
