<General Position Summary>
This position is responsible for preparing all necessary export documentation required by the customs and airline companies as well as coordinating shipment.

<Essential Job Functions>
■ EXPORT COORDINATION

• Responses and answers various questions from customers, including regulations, required information, invoices, quotas and etc.
• Contacts the trucking companies to arrange pick-up cargos from customer’s warehouse or other locations to the company warehouse.
• Responsible to coordinate trucking schedule and makes any adjustment as needed.
• Contacts airline companies to make booking for the cargo space.
• Obtains rates for ocean& air freight and trucking and rail.
• Negotiates with shipping lines and truckers to get a better rate.
• Prepares necessary export documentation such as bill of landing, packaging list, invoice and other required documents by the Customs, Airline companies and TSA.
• Makes sure that all paperwork is completed in compliance with customs regulations.
• Closes pouch and arranges transfer to airline.
• Tracks the shipments.
• E-mails necessary shipping information to the customers, Japan and other parties after completing export documentation.
• Keeps the customers/ overseas office informed with the status of their shipments.
• Maintains and manages customer’s information in accordance to TSA regulation
• Issues invoices and mails to the customers and overseas agents.
• Communicates with department manager and other staff to maintain effective work-flow.
• Communicates with sales department and customer service department staff to answer customer’s requests and inquiries.

■ OTHER & MISCELLANEOUS

• Seeks constant improvement, more efficient and less expensive ways and means in work processes.
• Performs special projects and other miscellaneous duties as assigned by supervisor / manager.
• Maintains high ethical standards in the work place.
• Reports all irregular issues and problems to management for solution.
• Maintains good communication with other managers, staff & outside contacts.
• Complies with all company policies and procedures.
• Responsible for maintaining a clean and safe working area.

<Qualifications>
■ Education & Work Experience
• Associate’s degree (AA) or equivalent from two-year college or technical school
• One year to three years related successful experience and/or training; or a combination of education and experience.

■ Tools & Equipment
• General office equipment including phones, fax, copier, personal computer, etc.
• Software includes the use of Windows operating system, MS Office.

■ Certificates / Licenses
• Certificate of IAC Security Training (IACSSP) and STA (Security Threat Assessment) ID required by DHS-TSA.
• HAZMAT Certification (IATA or IMDG)
• Any certificate or training records that are required by each department, position/title, or government agency.
