◆General Summary
This position is responsible for supporting the Business Department functions, processing orders, maintaining sales data,and coordinating logistics.

◆Job Functions
1)Supports Business Department Functions by providing sales and marketing support for management; by negotiating prices; by receiving requests for quotation; by submitting quotations; by checking status of outstanding accounts receivable and payable, as requested; by entering accounts receivable and payable information, including sales, commission, claim cost, etc. in to database, by following up on outstanding invoices, Contract administrator will be assigned to certain U.S and Japanese clients to manage under supervision.

2)Maintains and Processes Documentation by entering data into computer, maintaining, organizing, filing, and distribution of contract documents including Purchase Orders, Japan Contract Notes, US Manufacture’s order confirmation, Export License application, Commission invoices, Export/Import instructions, claim notes and organize other forms and data as necessary .MTS Data entry work; Purchase Order(M37), Payment Instructions(M41), On-hand report(M40), Export/Import instructions(M38), Commission invoices, Debit/Credit invoices(B40).

3)Coordinate Schedule and Delivery with Brokers, Customers, and Freight Forwarders by placing orders; by requesting quotations’ by following up on delivery’ by arranging export shipping, including dangerous goods shipments; by tracking orders; by checking order and schedule and sending confirmations to clients; and by communicating with freight forwarders in order to monitor import/export shipping arrangement and related documents, and to handle automated export system entry.

4)Provides Customer Service by handling RFQ, order delivery, and claims for various accounts; by assisting with order and delivery for various accounts; by notifying clients on changes in the status of their orders; by using purchase entry to give payment instructions; and by acting as liaison and providing answers to questions.

5)Export Laws and Regulations by attending seminars and conferences hosted by State Department and Department of Commerce.

6)Other: May participate in the SAP development. SAP knowledge is a plus to the position.

<Experience/Minimum Qualifications Needed>
Language Skills

Ability to read, analyze, and interpret general business documents, forms, and instructions in English and Japanese.

Ability to write reports, business correspondence, and procedure manuals in English and Japanese.


Ability to communicate verbally and in writing to individual and groups in English and Japanese.

Ability to effectively deliver presentations to Managers, Staff, Clients, and the general public in English and Japanese.
Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
Computer Skills

Ability to use a computer and such applications as Microsoft Windows, Word, Excel, and PowerPoint and be
able to design customer reports as necessary.
